We do not collect, process, or store credit scores, credit reports, banking credentials, or full payment card numbers on the Website. If you choose to pursue renovation financing, we provide you with a secure application link operated by Financeit Canada Inc. ("Financeit"), our third party financing partner. Financeit is an independent controller of that information and handles it under its own privacy policy and its own credit reporting agreements. When you visit the Website, our servers, hosting provider, and analytics and advertising partners may automatically collect:
Under PIPEDA, some of this technical information constitutes personal information when it can be associated with an identifiable individual, and we treat it accordingly.
We may receive personal information about you from:
We do not seek and ask that you do not submit sensitive personal information through our forms, including health information, medical conditions, Social Insurance Numbers, government identification numbers, immigration status, financial account numbers, or information about any person under the age of 18. Please note: Google's advertising policies prohibit advertisers from transmitting sensitive information for use in personalized advertising, and Meta's Business Tools Terms prohibit sharing sensitive categories of data. We do not use any special category or sensitive information for ad targeting, audience building, or measurement. If accessibility related modifications, mobility requirements, or similar accommodations are relevant to your renovation, we collect only what is strictly necessary to design and build the work correctly, we use it only for that purpose, and we do not share it with advertising partners.
We collect, use, and disclose personal information for the following identified purposes:
We do not use personal information for any new purpose without obtaining your consent, except where permitted or required by law.
Under PIPEDA, we rely on your knowledge and consent to collect, use, and disclose personal information, except where the law permits otherwise.
Commercial electronic messages, including marketing emails and marketing text messages, are sent only where we have your express or implied consent under CASL. Implied consent may arise from an existing business relationship, such as an enquiry you made within the previous six months or a contract you entered into within the previous two years. Every commercial electronic message we send identifies us, provides our contact information, and includes a functioning unsubscribe mechanism that we honour within ten business days. You may also unsubscribe at any time by emailing contact@mapleleafqualityrenos.ca or by replying STOP to any text message. Transactional and service messages relating to an active project, such as crew arrival times, inspection bookings, and invoices, are not marketing messages and will continue while your project is active.
You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice. Contact our Privacy Officer to do so. We will explain the consequences of withdrawal. For example, withdrawing consent to collect project information may prevent us from continuing your renovation or administering your warranty.

You can manage non essential cookies through:
There is currently no uniform industry standard for responding to browser Do Not Track signals. Where our consent management platform supports the Global Privacy Control (GPC) signal, we honour it as an opt out of non essential advertising cookies.
Because renovation marketing depends on visual work samples, we treat this category with particular care.
What we photograph.
Interior and exterior conditions of the work area before, during, and after construction, including materials, finishes, mechanical installations, and completed spaces.
Operational use.
We use photographs internally for estimating accuracy, scope verification, quality control, permit and inspection documentation, warranty evidence, and dispute resolution. This use is necessary to perform our contract with you.

We publish selected project photographs in our Gallery, Projects pages, blog posts, social media, and paid advertising only with your consent, which we obtain through a photograph and media release in, or accompanying, your contract.
What we do not publish.
Unless you specifically authorize it in writing, published images and captions will not include your full street address, unit number, house number, licence plates, identifiable images of you or your family, visible personal documents, or security system details. We identify project locations at the municipality or neighbourhood level only, for example "Kitchen renovation, Markham."
Testimonials.
Where you provide a testimonial, you consent to our publishing it with the attribution format you approve, typically first name, last initial, and city. Testimonials we publish are genuine statements from real clients, consistent with the Competition Act and with the advertising policies of Google and Meta regarding endorsements and testimonials.
Withdrawing photo consent.
You may withdraw consent for future marketing use of your project images at any time by contacting the Privacy Officer. We will remove the images from our Website and our own social media accounts within a reasonable period. We may be unable to recall images already distributed in printed materials, third party publications, syndicated listings, search engine caches, or copies saved by others.
We do not sell your personal information. We do not rent or trade contact lists. We disclose personal information only as described below.

Legal requirements.
Where required or permitted by law, including in response to a subpoena, court order, warrant, construction lien proceeding, or lawful investigation, and to protect our rights, property, or the safety of any person. We require service providers to protect personal information using safeguards comparable to our own, to use it only for the purposes we specify, and to return or destroy it when the engagement ends.
We use Google products that may collect or process information about your visit. Depending on your consent settings, these may include Google Analytics 4, Google Ads conversion tracking and remarketing tags, Google Tag Manager, Google Business Profile, Google Local Services Ads, Google Maps embeds, and Google reCAPTCHA on our forms.
How this works.
Google Analytics uses cookies and identifiers to help us understand how visitors use the Website. Google Ads tags allow us to measure which ads generate enquiries and to show ads to people who previously visited the Website (remarketing). We may create and use Customer Match audiences by providing Google with hashed contact information, where permitted and where we have the required consent.
Data controls we apply.
We have enabled IP anonymization where available. We do not send personally identifying information such as names, email addresses, or phone numbers to Google Analytics in plain text. We operate under the Google Ads Data Processing Terms and comply with Google's EU User Consent Policy and Google Consent Mode where applicable. We do not use Google's personalized advertising features in ways prohibited by Google's Personalized Advertising Policy, and we do not build audience segments based on sensitive categories.
Google Maps.
Where the Website embeds Google Maps, your use of that feature is also subject to the Google Maps/Google Earth Additional Terms of Service.
Google reCAPTCHA.
Where our forms are protected by reCAPTCHA, Google collects hardware and software information for the purpose of distinguishing humans from automated submissions. Use of reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
Your controls.
We advertise on Facebook and Instagram and use Meta Business Tools, which may include the Meta Pixel, the Conversions API, Custom Audiences, Lookalike Audiences, and Lead Ads instant forms.
How this works.
The Meta Pixel and Conversions API record events such as page views, form starts, and lead submissions so that we can measure advertising effectiveness and show ads to relevant audiences. Where we use Custom Audiences, we may provide Meta with hashed contact information belonging to people who have consented to marketing from us. Where you complete a Meta Lead Ads instant form, Meta transmits your responses to us.
Our commitments.
We use Meta Business Tools in accordance with the Meta Business Tools Terms, the Custom Audiences Terms, and the Lead Ads Terms. We do not share sensitive categories of information with Meta. We do not use Meta advertising tools to discriminate in the delivery of ads, and we comply with Meta's advertising policies, including its policies on housing related advertising where those policies apply to our campaigns.
Your controls.
We may use additional platforms including Microsoft Advertising and Microsoft Clarity, Bing Webmaster Tools, YouTube, TikTok, Pinterest, LinkedIn, Nextdoor, and home improvement directories such as HomeStars or Houzz. Each operates under its own privacy policy. We will update this section as our marketing mix changes.
Opting out of interest based advertising does not stop you from seeing ads. It means the ads you see will be less relevant to you.
We invite you to call or text +1 (647) 496-3360.
We protect personal information with security safeguards appropriate to its sensitivity, including:
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and information transmitted to us over the internet is sent at your own risk.
If we determine that a breach of security safeguards involving personal information under our control creates a real risk of significant harm to an individual, we will report the breach to the Privacy Commissioner of Canada, notify affected individuals as soon as feasible, notify any organization that may be able to reduce the risk of harm, and maintain a record of the breach as required by PIPEDA.
We retain personal information only as long as necessary to fulfil the purposes for which it was collected and to meet legal, accounting, warranty, and limitation period requirements. Our general schedule is:
| Record type | Retention period |
|---|---|
| Enquiries that do not become projects | 24 months from last contact |
| Estimates not accepted | 24 months |
| Signed contracts and change orders | Minimum 7 years after completion |
| Permit, drawing, and inspection records | Minimum 7 years after completion, longer where required by the authority having jurisdiction |
| Financial and tax records | 6 years from the end of the applicable tax year, per Canada Revenue Agency requirements |
| Warranty and deficiency records | Duration of warranty plus the applicable limitation period |
| Health and safety and WSIB records | As required by Ontario legislation |
| Marketing consent records | Duration of consent plus 3 years, per CASL record keeping practice |
| Project photographs used in marketing | Until consent is withdrawn or the image is retired |
| Website analytics data | Per the retention settings of the relevant platform, generally 14 months or less |
Because construction claims can be brought years after completion, we retain project records for the full period necessary to defend potential claims, including under the Limitations Act, 2002 (Ontario) and the Construction Act (Ontario). When information is no longer required, we destroy, erase, or anonymize it securely.
We store personal information in Canada where practicable. However, some of our service providers, including cloud hosting, email, analytics, and advertising platforms, store or process information in the United States or other countries. Personal information stored or processed outside Canada is subject to the laws of that jurisdiction and may be accessible to foreign courts, law enforcement, and national security authorities under the laws of that jurisdiction. We use contractual and other means to provide a comparable level of protection while the information is being processed by a service provider. You may contact our Privacy Officer for information about our policies and practices regarding service providers located outside Canada.
Subject to limited exceptions under PIPEDA, you have the right to:
How to exercise these rights.
Write to our Privacy Officer using the contact details in Section 2. We may ask you to verify your identity before responding, in order to protect your information. We respond within 30 days of receiving your request, at no cost in most cases. If we require an extension permitted by PIPEDA, we will tell you within the initial 30 days.
Limits on access.
We may refuse access where the information contains references to other individuals that cannot reasonably be severed, where disclosure would reveal confidential commercial information, where the information is subject to solicitor client privilege, or where PIPEDA otherwise permits or requires refusal. We will explain the reason and your options.
Residents of Quebec, Alberta, and British Columbia.
If you reside in a province with a substantially similar private sector privacy statute, you may have additional rights under that statute, including, in Quebec, rights relating to automated decision making and data portability. Contact our Privacy Officer and we will honour the rights applicable to you.
If you are not satisfied with our response, you may escalate as follows:
Step 1.
Submit a written complaint to our Privacy Officer. We will investigate, respond in writing, and correct our practices or policies where the complaint is justified.
Step 2.
If unresolved, contact the Office of the Privacy Commissioner of Canada:
Step 3.
For complaints about commercial electronic messages, you may also report to the Spam Reporting Centre at https://www.combattrelepourriel.gc.ca/en.
The Website and our services are directed to adults aged 18 and over. We do not knowingly collect personal information from children. Renovation contracts are entered into with adults who own or lawfully occupy the property. Where children are present at a project site, we take reasonable steps to avoid photographing them, and we do not publish identifiable images of minors in our marketing without the written consent of a parent or legal guardian. If you believe we have inadvertently collected personal information from a child, contact our Privacy Officer and we will delete it promptly.
The Website contains links to third party websites, including Financeit, social media platforms, supplier and manufacturer sites, municipal websites, and review platforms. We are not responsible for the privacy practices or content of those websites. We encourage you to review the privacy policy of each site you visit.
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing. Estimates, scheduling, and project decisions are made by our staff. Where we use software to sort or prioritize enquiries, a human reviews the outcome. Financing decisions are made by Financeit, not by us, using Financeit's own criteria and processes.
The Website is intended for individuals located in Canada, and our services are available only in Ontario. If you access the Website from the European Economic Area, the United Kingdom, or another jurisdiction with different privacy laws, you do so on your own initiative. Where our processing is subject to the General Data Protection Regulation or comparable law, we will honour the rights available to you under that law. Contact our Privacy Officer.
We may update this Privacy Policy to reflect changes in our practices, technology, or the law. Canadian federal privacy legislation is currently under review, and if PIPEDA is replaced or amended, we will update this Policy accordingly. The "Last Updated" date at the top indicates when the Policy was most recently revised. Material changes will be highlighted on the Website and, where the change affects a purpose for which we use your information, we will seek your consent where required. Continued use of the Website after a change takes effect constitutes acceptance of the revised Policy. We recommend reviewing this page periodically. Prior versions are available on request from our Privacy Officer.
